The problem

What needed solving

Facility-management coordinators spend the day retyping WhatsApp messages, calls and emails into their maintenance system. The SLA clock starts when the tenant sent the message, but it's often only noticed when someone opens the ticket — and breaches are discovered after the penalty.

Technicians speak many languages, so completion reports are written badly or not at all, and the monthly client report is assembled by hand from several systems.

Our approach

What we built

DeskLoop creates the work order straight from the WhatsApp message, in the tenant's language, and starts both SLA clocks from the first message. Supervisors get a WhatsApp warning at 75% of the window and again at breach; client-caused holds are timed, logged and excluded from the clock.

A technician's voice note becomes a completion report in English and Arabic that lists what is missing instead of inventing it. Every state change is an immutable event, so service-credit clauses can be backed with timestamps.

  • WhatsApp message → work order, automatically
  • Response and resolution SLA clocks from the first message
  • Breach warnings to supervisors on WhatsApp
  • Timed holds excluded from the SLA, with reasons
  • Voice note → bilingual completion report
  • Incident detection from repeated complaints in one building
  • PPM compliance tracking with an exportable audit pack
  • Monthly client report built from the work orders
